The complete cancellation, meals, and packing policies for every Cross Mill Plug In. Short answers live on the FAQ.
Each Cross Mill Plug In is limited to twenty musicians, thoughtfully selected to create a balanced and productive ensemble. Once a place is accepted, we begin making commitments to featured artists, faculty, lodging, meals, staffing, and production based on that musician's attendance.
Upon receiving an invitation to attend, a nonrefundable reservation deposit equal to 35% of the total Plug In cost is required to secure your place.
Your reservation is not confirmed until the deposit has been received. The remaining balance is due 60 days before the Plug In begins. Reservations made within 60 days of a Plug In require payment in full.
All cancellation requests must be submitted in writing to hello@crossmillarts.com.
| Timing | Participant cancellation result |
|---|---|
| More than 60 days | Payments beyond the nonrefundable 35% deposit are refunded. |
| 30–60 days | No cash refund. Fifty percent of payments beyond the deposit may be credited to another Plug In within 12 months. |
| Fewer than 30 days | Payments are nonrefundable and nontransferable. |
| After the Plug In begins | No refund or credit for late arrival, early departure, missed sessions, illness, travel interruptions, or unused portions. |
Because musicians are selected to create a particular balance of instruments, experience, and collaborative ability, registrations may not be transferred or sold to another person.
We understand that unexpected circumstances occur. When a cancellation is received fewer than 60 days before the Plug In, Cross Mill Arts may attempt to fill the opening with an approved musician from the waiting list.
If the place is successfully filled, Cross Mill Arts may, at its discretion, provide a refund or future Plug In credit for payments received beyond the nonrefundable deposit, less any processing fees or costs already committed on the participant's behalf. Replacement cannot be guaranteed.
Onsite accommodations are limited and reserved specifically for each participant. Lodging payments follow the same cancellation schedule as Plug In tuition. No refund or credit will be provided for unused nights, late arrival, or early departure.
Cross Mill Arts reserves the right to adjust the Plug In schedule, faculty, activities, or program details when reasonably necessary. A change in schedule or faculty does not automatically constitute cancellation of the Plug In.
If Cross Mill Arts cancels a Plug In and does not offer suitable replacement dates, participants may choose either:
Cross Mill Arts is not responsible for airfare, transportation, rental vehicles, hotels, lost wages, instrument shipping, or other expenses purchased independently by a participant.
If a Plug In must be postponed because of severe weather, natural disaster, government restriction, public-safety concern, or another circumstance beyond the reasonable control of Cross Mill Arts, payments will be transferred to the rescheduled Plug In or issued as a credit valid for 18 months.
We strongly encourage participants to purchase travel insurance that covers illness, family emergencies, transportation disruptions, and other unexpected circumstances. Participants are responsible for confirming the terms and coverage of any policy they purchase.
By submitting payment and reserving a place, the participant acknowledges and accepts this cancellation policy.
The table is part of the Plug In. Shared meals are included in your Plug In experience and are designed as another place for artists and musicians to connect. Depending on the weekend schedule, meals generally begin with the arrival gathering and continue through the final morning or closing meal. Coffee, tea, water, and light snacks will also be available throughout the Plug In.
During the reservation process, you will be asked to identify any dietary restrictions, food allergies, or religious dietary requirements.
With advance notice, we can generally provide options for:
Please provide complete information at least 30 days before the Plug In. Requests received after that date may be more difficult to accommodate.
Food allergies should be clearly identified as medical allergies rather than preferences. Participants with severe allergies, celiac disease, multiple food sensitivities, or highly specialized dietary needs should contact us before completing their reservation so we can discuss the available arrangements.
We will make every reasonable effort to accommodate disclosed dietary needs and communicate ingredient information. However, meals may be prepared or served in shared kitchens and dining areas where wheat, dairy, eggs, soy, peanuts, tree nuts, sesame, fish, shellfish, and other allergens may be present. Cross Mill Arts cannot guarantee a completely allergen-free environment.
Participants with serious allergies are responsible for carrying any prescribed emergency medication and informing Cross Mill staff of the appropriate emergency response.
When a dietary need cannot be safely or reasonably met through the planned menu, we may ask the participant to bring supplemental prepared food. Please contact us in advance so we can discuss available refrigeration, storage, or reheating arrangements.
Our goal is for every participant to feel welcomed and well cared for — at rehearsals, throughout the Mill, and around the table.
Bring the instrument you know — and the music you want to explore. Cross Mill Arts will provide the shared spaces, scheduled backline, sound support, meals, and Plug In materials. You should bring the personal equipment you need to play comfortably and confidently throughout the weekend.
Please label instruments, cases, bags, and other equipment with your name and phone number.
Bring a notebook, pencil, tablet, or other way to capture ideas. You are also welcome to bring:
You do not need to arrive with polished material. Unfinished ideas are often where the most interesting work begins.
The Plug In moves between the historic Mill, the Gallery, rehearsal spaces, dining areas, and the surrounding estate. Pack comfortable, casual clothing that can be layered as conditions change.
We recommend bringing:
Onsite guests will receive additional lodging information before arrival.
Please do not bring a large amplifier, full drum kit, keyboard rig, PA system, or other substantial equipment unless it has been approved in advance.
Before the Plug In, we will confirm the available backline and coordinate any special equipment requirements with each musician. Smaller personal amplifiers may be permitted when needed for a particular instrument or sound.
Come prepared to listen, participate, experiment, and contribute. Bring your experience, but also bring enough openness to let the weekend take the music somewhere unexpected.
